This document explains how we process the personal data of people who contact us through this website.

Data controller

The controller of your personal data is Vireotech sp. z o.o., registered at ul. Grzybowska 87, 00-844 Warsaw, Poland, VAT ID PL5273147064.

What data we collect

Through the enquiry form we collect:

  • company name and the name of the contact person
  • email address and, optionally, telephone number
  • commercial details: commodity, estimated volume, intended application, and preferred delivery terms and destination
  • the content of the message you send us

Purpose and legal basis

  • Answering your enquiry and taking steps prior to entering into a contract — Article 6(1)(b) GDPR.
  • Conducting business correspondence with people representing our counterparties — Article 6(1)(f) GDPR, our legitimate interest in running a business.
  • Meeting tax and accounting obligations where a contract is concluded — Article 6(1)(c) GDPR.

We do not collect special categories of data, we do not profile users, and we do not take decisions based solely on automated processing.

How long we keep data

Enquiry data is kept for 24 months from the last contact, unless you ask us to delete it sooner.

Where a contract is concluded, settlement data is kept for the period required by tax and accounting law — as a rule 5 years from the end of the year in which the transaction was settled.

Who receives the data

Your data may reach only the following categories of recipients:

  • the provider of the hosting infrastructure running this website
  • the email provider through which we conduct correspondence
  • legal and accounting advisers, to the extent required for the services they provide to us
  • public authorities, where disclosure is required by law

Transfers outside the European Economic Area

Some of our technical service providers may process data outside the European Economic Area. Such transfers take place on the basis of standard contractual clauses approved by the European Commission, which provide a level of protection equivalent to GDPR requirements. Your rights

In connection with the processing of your data, you have the right to:

  • access your data and obtain a copy of it
  • have inaccurate or incomplete data corrected
  • have your data erased
  • restrict processing
  • data portability
  • object to processing based on legitimate interest
  • lodge a complaint with a supervisory authority

How to exercise these rights

Write to sales@vireotech.pro. We respond without undue delay and no later than one month from receiving your request.

A complaint may be lodged with the President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw, Poland.

Providing data is voluntary

Providing your data is voluntary, but without it we cannot answer your enquiry. Fields marked with an asterisk are those we need in order to prepare an offer.

Cookies

This website does not use cookies. We run no analytics and embed no tracking tools or social media plugins.

Our infrastructure provider processes technical server logs — IP address, browser type and request time — to keep the site secure and available. These logs are not used to identify users.

Changes to this policy

Updates are published on this page along with the date of the last change shown at the top of the document.
